Booking a Wi-Fi survey for the first time can feel like signing off on something you can’t quite picture. You know coverage is patchy, scanners are dropping connection in the racking, and the handheld terminals keep timing out at the far end of the building. But what actually happens when a specialist walks through your warehouse with a laptop and a set of access points? And how do you tell a thorough survey from a box-ticking exercise?
This guide breaks down the survey process from start to finish, so you know what good looks like, what to prepare, and what you should expect to receive at the end.
Warehouses are one of the hardest environments to get right. Metal racking reflects and absorbs signal, stock levels change the radio environment daily, and forklift traffic means coverage has to hold up while devices move at speed. A survey removes the guesswork. Rather than mounting access points where they seem sensible and hoping for the best, a survey gives you evidence about where signal actually reaches, where it fails, and how many access points you genuinely need.
Done properly, a survey saves money. Over-provisioning wastes budget on hardware you don’t need, and under-provisioning leaves you with dead zones and a second remedial project six months later. The goal is coverage you can rely on, verified against real measurements rather than assumptions.
Not every survey does the same job. Understanding which type you need, or which your provider is proposing, is the first step to getting the right outcome.
A predictive survey is carried out before any hardware is installed, often before the building is even fitted out. Using a floor plan and details about wall materials, racking layout, and ceiling height, a specialist models where signal will travel and recommends access point positions and quantities. This is the design stage. It’s ideal for new sites, fit-outs, or major reconfigurations where you need a plan and a budget before committing to equipment.
A validation survey, sometimes called a passive or post-installation survey, confirms that the installed network performs as designed. A specialist walks the floor measuring signal strength, coverage overlap, interference, and throughput against the specification. This is how you prove the network delivers what was promised, and it’s the type of survey that protects you when something isn’t working as it should.
A troubleshooting survey diagnoses the cause when an existing network is underperforming. Are devices roaming poorly between access points? Is interference from neighbouring equipment degrading the signal? Are there dead zones created by new racking or higher stock levels? This survey pinpoints the problem and recommends targeted fixes rather than a full redesign.
A common mistake is paying for a predictive survey and assuming it validates the finished network. It doesn’t. Predictive modelling designs the network, and a validation survey proves it works. For a business-critical warehouse, you want both.
The deliverable is where the difference between a thorough survey and a superficial one becomes obvious. At minimum, you should expect a report that includes clear coverage heatmaps showing signal strength across the entire floor, access point positions marked against your floor plan, identification of any dead zones or weak areas, interference analysis showing competing signals, and specific recommendations for hardware, positioning, and configuration.
A strong report explains its findings in plain language, not just colour-coded maps you’re left to interpret alone. You should come away understanding not only where the problems are, but why they exist and what will fix them. If a survey report hands you a heatmap and nothing else, it hasn’t done half its job.
A little preparation makes the survey faster, more accurate, and better value. Before the specialist arrives, it helps to have a current floor plan available, ideally showing racking layout and any mezzanine levels. Let your provider know your typical stock levels, since a warehouse surveyed when empty behaves very differently once full. Flag the devices you rely on, such as scanners, tablets, voice-picking headsets, and vehicle-mounted terminals, because coverage requirements differ depending on what needs to connect and how it moves.
It’s also worth being clear about your operational hours. Some measurements are best taken while the warehouse is running at normal capacity, so the survey reflects real conditions rather than a quiet, empty building. Sharing this context up front means the survey is designed around how your site actually operates.
A survey is not a one-off event that ends when the report lands. The strongest approach treats the survey as the foundation of an ongoing relationship: you design coverage on evidence, install against that design, and then continue to assure performance as your warehouse changes. Stock moves, racking gets reconfigured, and new devices come online, and each of those can shift the radio environment. A provider that surveys, installs, and then monitors performance over time keeps your network reliable long after the initial project closes.
